5.2 Vacation
Purpose
To provide a paid time off benefit that will provide a break and support the college’s goals to attract and retain quality employees.
Scope
This policy applies to full-time staff employees at Rochester University.
Policy
Rochester University encourages each staff employee to take an annual vacation. The college does not pay vacation hours unless vacation time is actually taken as time off from work or upon separation of employment.
Allotment
Vacation time is accrued semi-monthly at the rates stated in the table below.

- Vacation time is tracked and renews on June 1 of every year.
- Two years of service must be completed before moving to the next level of hours. For example, employee A is hired November 1, 2015. Hours are accrued from February 1 – May 31, 2016. June 1, 2016 employee continues accruing vacation time at new hire level from June 1, 2016-May 31, 2017. June 1, 2017 employee begins accruing vacation time at 1-3 years level since one full year of employment has been completed.
- A maximum of one half the annual vacation hour allotments may be carried forward to the next year if unused.
- Part-time employees, student employees and faculty members are not eligible for vacation time.
- Unused vacation time (up to 180 hours) will be paid to employees upon separation, provided they have completed one year of continuous service, given two weeks’ notice, termination was not for cause and do not use vacation as the last two weeks of employment. Negative balances will be deducted from the last paycheck.
- Time paid for vacation leave does not count as time worked in calculating overtime for the week.
Scheduling
- Only ½ of the annual allotment may roll forward to the following year.
- Selection of dates is subject to manager approval.
- Department Managers will maintain a department schedule and record of the vacation time taken by each employee.
- Employees may not use vacation time as the last two weeks of employment.
- Vacation time must be taken in full hour increments.
Resident Directors
Policy as stated above, with the following exception:
- A maximum of 40 hours of available vacation time may be taken each semester with the remainder of the available hours taken over the summer months, with supervisor approval.
