14.1 Mailing List Purge

Purpose

To provide a system for purging of the general mailing list.

Policy

  • At the beginning of each calendar year, the Development Office prepares a purge roster of “friend” files that have had no donor activity during the previous five years.
  • The president and development officers review the roster before the purge is completed to identify those individuals that should be kept on the list regardless of donor history.
  • The Development Office maintains rosters of purged names for future reference.
  • Alumni are never purged from the computer base. Files can be coded by the Alumni Office when removal is requested or when a person is deceased, but records on alumni are permanent since complete class information is often needed.
